01Why we built WoyCore
Ship management has outgrown the digital logbook.
Most planned maintenance systems in service today were designed for record keeping and reporting. They do what they were built for: they store what people type in. But the job of running a fleet has changed. Owners and managers must prove, to flag administrations, class, charterers, cargo owners and insurers, that vessels they are responsible for are maintained to a high standard, often for vessels they do not own. For them, a verifiable evidence base is a matter of contract, not convenience.
Meanwhile the information behind every decision is scattered: equipment manuals and drawings, service letters, company SMS procedures, circulars, certificates, PMS exports, invoices and correspondence. A new generation of AI tools can read text, but they do not know how a ship is built, which revision is current, or which rule applies where. And most of them stop working the moment a vessel loses its connection.
WoyCore was designed to close that gap. Not another record-keeping tool for repair logging, but a digital superintendent that can work on board around the clock, including without an internet connection.
02The problems it solves
Seven problems, one platform.
| The problem | How WoyCore answers it |
|---|---|
| 01Hours lost searching manuals, drawings, circulars and procedures. | Ask in plain language. The answer cites the document, revision and clause, filtered to your vessel, equipment, flag and the current revision. |
| 02Jobs closed as “Done, checked OK” without proof. | Mandatory facts per job type, time and sequence checks, comparison with limits and history, and evidence captured in the app. In WoyCore PMS a closure without the facts it needs is held for completion; with another PMS, WoyCore checks the exported records and raises warnings. |
| 03Part numbers copied wrongly, requisitions sent back. | The graph expands equipment down to the part, with manufacturer numbers and IMPA or ISSA codes where available. Requisitions are drafted with exact identifiers for a person to confirm. |
| 04Outdated procedures followed because a service letter was missed. | Every answer is checked against later documents in the knowledge base that modify or supersede the source. Superseded revisions are never presented as current. |
| 05Regulations blended into one generic answer. | International conventions, regional and port rules and company policy are applied in their proper hierarchy for the vessel’s location and equipment class. |
| 06Inspections and audits prepared by hand at the last minute. | Findings, corrective actions, certificates and evidence are linked to the equipment and to the requirement, so readiness can be checked object by object. |
| 07Knowledge that leaves at crew change. | Handover reports are drafted from the record itself: open jobs, recurring issues and unresolved alerts, grouped by ship system. |
03What WoyCore is
A system of intelligence and a system of record.
WoyCore has two parts that work as one. They can also be adopted separately.
The AI core – system of intelligence
WoyCore AI
The part of WoyCore that understands. It holds the knowledge graph of your fleet and a verified, versioned knowledge base, and runs tool-constrained AI agents that answer questions, draft work, validate records and prepare reports. It is designed to run reliably ashore and on board, with or without a connection.
- Knowledge graph of vessels, equipment, parts, documents, regulations and maintenance facts
- Answers with document, revision and clause citations
- Agents that draft for human confirmation and never approve on their own
- Document AI for certificates, invoices, forms and nameplates
- Security, audit and access control built into every query
The maintenance system – system of record
WoyCore PMS
A modern, lightweight planned maintenance system with an SMS document library, findings and corrective actions, designed so that every record can be checked by people and by machines. It gives a company with no existing system everything the AI core needs, and nothing it does not.
- Equipment tree with SFI coding, technical data and spare parts
- Planned maintenance by running hours, calendar, docking or condition; two-stage deferral workflow; critical equipment
- Defects, inventory and requisitions; certificates with one colour-coded expiry model
- SMS document library with revisions and acknowledgement tracking
- Form and checklist builder with evidence required per item
- Findings with corrective and preventive actions
- Mobile client for checklists and evidence capture, offline-ready
04Two ways to adopt
Start where your fleet is today.
Already running a PMS
An AI layer on top of your current system
Keep the planned maintenance system you have. Your SMS, manuals, circulars, certificates, checklists, reports, invoices and system exports come into WoyCore as files, and the AI layer starts working on them: answering regulatory and technical questions, validating company forms, helping prepare responses to inspection findings, checking invoices. Your existing system is not structurally touched. Deeper connectors are built by agreement with you and your vendor.
No integration project is needed to start, so your IT department does not have to block the calendar.
Running on spreadsheets and paper
The complete platform
WoyCore PMS and the AI core together, in one product. There is nothing to integrate: you get a modern planned maintenance and safety management system with AI built in from day one.
05Where it runs
One core, three environments.
The same core runs everywhere. The differences between environments are configuration, the knowledge each one holds and the size of the AI model it runs, not separate products.
-
For the office
Shore platform
A dedicated instance for each company, in the cloud or on the company’s own servers. It holds the knowledge of the whole fleet, runs the heavier AI models, connects to external systems and prepares the knowledge packages that go to the vessels. Each company has its own instance, and its knowledge base is kept in separate stores, never in a shared index separated only by a filter.
-
For the vessel
Onboard node
An autonomous instance on a dedicated compute node on board. It holds the knowledge that applies to that vessel and runs a local AI model, so the crew keeps the full functional scope for as long as the link is down. It exchanges data with shore in short sessions when a connection is available.
-
For professionals
WoyCore AI Assistant
A public, cloud-based AI Assistant for marine engineers, officers, cadets and instructors, answering from openly published regulatory and reference sources, with a private space for the user’s own documents. It is a physically separate installation with no path to any company’s data. Public beta in Q4 2026.
06A knowledge base you can trust
Layered, verified and current.
WoyCore’s knowledge is organised in layers, so each vessel sees exactly what applies to it, and each document is managed once, in one layer.
- 01
Core layer: publicly published regulatory and reference material with a recorded licence basis – flag state circulars, port state control materials, casualty investigation reports, industry guidance – plus WoyCore’s own content.
- 02
Series layer: documentation shared by sister ships and vessels of the same type, prepared once for the series and delivered as one shared layer instead of being repeated in every vessel’s own documentation.
- 03
Vessel layer: documentation specific to one vessel: the applicable SMS, manuals for installed equipment, certificates, technical documentation.
- 04
Company data: jobs, defects, observations, reports, requisitions, invoices and correspondence.
- 05
Candidate material: new external material waiting for review. It is isolated and does not affect answers until a person approves it.
07Open standards
Industry standards, not proprietary formats.
WoyCore does not invent its own classifiers. It builds on standards the industry already uses, and extends them as profiles where needed. That keeps your data portable and your options open.
-
Technical documentation
Shipdex, based on ASD/AIA S1000D.
Manufacturer manuals in structured form, so a citation points to a specific data module, not a PDF page.
-
Operational feedback
Shipdex-F, based on S5000F.
Maintenance and running hours data exported in a standard form.
-
Equipment hierarchy
SFI Group System.
One equipment tree for jobs, spare parts and budget codes.
-
Supply cataloguing
IMPA and ISSA codes, alongside manufacturer part numbers.
-
Ports and voyages
UN/LOCODE.
-
Vessel identity
IMO number, MMSI and call sign.
-
Sensor data (later stage)
ISO 19847 and ISO 19848 for shipboard data servers and channel naming.
08How WoyCore compares
Different by design.
| Conventional PMS | General AI tools | WoyCore | |
|---|---|---|---|
| Built for | Record keeping and reporting | Fast answers on a single task | Machine reasoning, verifiable answers and evidence |
| Knows the ship’s structure | As a list of equipment | No | Yes: dependencies, parts, applicable documents and rules |
| Source of an answer | Not applicable | Often unclear | Document, revision and clause, or a system record |
| When data is missing | Accepts what is typed | May guess | Says there is no basis and lists what is needed |
| Proof of completed work | A checkbox and a comment | Not applicable | Mandatory facts, evidence and validation |
| Works with no connectivity | Depends on the product | Usually not | Yes, with a dedicated onboard node |
| Data formats | Often proprietary | Not applicable | Established industry standards |
| Who approves | People | Not defined | Always people |
09What a pilot measures
Value you can measure on your own vessels.
The value of WoyCore comes from three sources: less administrative load on crew and shore staff; lower exposure at port state control, vetting, class surveys and audits; and fewer failures and incidents, because deviations are captured as managed defects instead of being left in the comment of a closed job.
A pilot on one or two of your vessels measures this on your real data:
- Time to find an answer, before and after.
- Time to prepare a form or a requisition, before and after.
- Share of checklists closed with a complete set of valid evidence, compared with your current process.
10Roadmap
Where we are going.
WoyCore is built in stages. Each stage ships only when it passes its own acceptance tests: answer accuracy against reference questions written by practising specialists, isolation tests that try to reach data they must not see, and measurements on real data. The public AI Assistant comes first because it puts the AI core in front of real questions from real seafarers early; the shore platform and the onboard node follow on the same core.
